Capability 05 / Business visibility

The old way is optional.

Friday called.
It wants its hours back.

Collect agreed data, reconcile the numbers, and deliver reports with a clear source and owner. Spend the meeting deciding what to do next.

Talk about this workflow

The bad clause

Here’s where
work gets stuck.

A weekly report can take hours of exports, copied formulas, and screenshot hunting. The danger is not just wasted time: two people may be reporting different definitions of the same number. We settle the definitions before automating the report.

An illustrative workflow

A weekly pipeline report combines agreed CRM fields, checks for missing updates, and produces a short summary that links back to the underlying records.

The rewrite

Make the next step
the useful one.

01 /

Connect the repeat exports

Schedule collection from agreed sources with freshness checks and a visible failure state.

02 /

Make definitions explicit

Document the formulas, date ranges, exclusions, and owner for each measure before comparing results.

03 /

Summarise without inventing the story

Use AI, where useful, to draft commentary from verified figures. Keep uncertainty and missing data visible.

What changes

Before

The task lives in memory.

Progress depends on somebody remembering to check, copy, chase, or update the next tool.

After

The routine path moves itself.

The agreed event triggers a visible next step with the right context and a clear owner.

Control

The odd case reaches a person.

Missing data, uncertainty, failures, and high-consequence decisions leave the automatic path.

From idea to operating process

How we
make it work.

01

Define

Choose the decisions the report supports and the measures needed to make them.

02

Reconcile

Compare source totals, date boundaries, missing fields, and existing reporting differences.

03

Automate

Build collection, validation, report generation, and delivery to the agreed location.

04

Review

Check a sample against the source and document how definitions or sources are updated.

In the scope

Clear deliverables.
No mystery box.

  • Metric dictionary and source mapping
  • Scheduled data collection
  • Freshness and reconciliation checks
  • Report template and bounded narrative
  • Failure alerts and maintenance notes

Operating terms

A workflow still needs
adult supervision.

Ownership stays visible.

Accounts, permissions, documentation, and the person responsible for exceptions are agreed before launch.

Running cost is recorded.

Model usage, messaging, hosting, subscriptions, and support effort stay separate from the headline time saving.

Changes get reviewed.

New rules, messages, integrations, and decision boundaries do not quietly drift into production.

The questions
worth asking.

Can we keep our existing report format?

Usually. We focus first on making its inputs reliable, then improve the format only where it helps the decision.

Will the numbers always match every platform?

Different attribution rules and reporting windows can produce differences. We document and reconcile those differences instead of hiding them.

Can AI decide what action to take?

It can propose a next question or draft commentary within the scope. Material business decisions remain with your team.

Connected capabilities

Fix the next
bad habit.

Reporting automation implementation

Automate the assembly.
Keep the judgment visible.

Reporting automation collects agreed data, applies documented definitions, checks expected relationships, produces a consistent output, and delivers it to the right audience on schedule.

The goal is not to create more dashboards. It is to reduce recurring collection and formatting work while making the source, calculation, exception, and responsible owner easier to inspect.

01

Metric definitions and ownership

Agree what each metric means, the reporting window, timezone, currency, attribution rule, exclusions, and authoritative source. When two platforms disagree, the workflow should explain the difference rather than quietly choosing the more flattering number.

02

Collection and reconciliation

APIs, database queries, exports, spreadsheets, and manual inputs have different reliability. The workflow records freshness, missing periods, schema changes, duplicate rows, unusual variance, and reconciliation checks before publishing the result.

03

Report production and delivery

A repeatable output can include tables, charts, narrative prompts, distribution rules, access controls, and an approval step. Recipients should know when the report ran, which period it covers, and whether any source was incomplete.

04

AI-assisted commentary

AI can draft a summary, identify questions, or highlight unusual movement using the supplied data and approved context. It should not invent causes, hide uncertainty, or make consequential business recommendations without review.

Good recurring reports

Weekly sales operations, campaign performance, service delivery, support volume, finance preparation, and management packs may be suitable when definitions and sources are stable. One-off analysis is usually a different kind of work.

Measures that matter

Track preparation time, late reports, missing data, reconciliation errors, corrections after delivery, source freshness, review effort, and whether the report reaches the decision meeting in time to be useful.

Enough circling back.

Let’s scope something useful.

We’ll map the workflow, check the constraints, and agree what the first version should do.

Let’s kill the busywork
